Overview: Responsible for the organization’s expenses and vendor payments while ensuring a professional and well-functioning office environment. Provides key administrative support for leadership and staff. Serves as a central point of contact for front-desk and admin coordination.
Key Responsibilities
Accounts Payable:
- Process and account for all outgoing transactions (vendor payments, reimbursements,
bills, gift cards)
- Track and distribute outgoing gift cards - Reconcile staff credit card statements, assign
transactions to correct accounts
- Manage petty cash withdrawals and banking coordination
- Reconcile applicable accounts in QuickBooks
- Support the CPA and auditor by preparing financial documentation as requested
- Provide back-up support to accounts receivable
Office Administration:
- Oversee all office needs: re-stocking of supplies, refreshments, equipment, forms
- Provide general assistance for internal events or facility use
- Provide administrative support to the HR Manager and Executive Director
- Maintain and update the organizational calendar of internal events
- Receive and direct incoming phone calls
- Track and manage PTO for all employees
- Support the administrative needs of HR Manager and Executive Director as
requested
Qualifications:
- Experience with QuickBooks preferred
- Detail-oriented with strong organizational skills
- Ability to maintain confidentiality
- Experience with QuickBooks (required)
- Familiarity with Salesforce (preferred)
- Strong communication and customer service skills
- Detail oriented
- Commitment to FHC mission, values and growth.
- Spanish bilingual preferred
